Our Privacy Policy covers how we use and store your personal data. It also covers your rights in respect of this data and our destruction policy.
Let’s start with the basics. Our clients are more than a name and address, but we need to know these so we can book events on your behalf, as well as let you know about new and exciting venues.
We also need your email address, so we can send to you your event proposals and venue confirmations, but also specially tailored CCD news.
Why we hold your personal data
- For statutory requirements – We must hold your data because we are legally required to do so
- We have recorded consent – We hold your data because you have given us written consent to do so
- We have implied consent – We hold your data because you have implied you have given us your consent to contact you. E.g. you sent us an e-mail which implies we have consent to contact you in the future or it is publicly available.
- We have un-evidenced consent– You have given us verbal consent to hold your data and we have logged this on our databases. Or we have previously had recorded consent, but the record has been destroyed, in which case it has been logged digitally on our database.
- We have non-recorded consent – You have given us verbal consent, but we have not logged when this happened.
- For business reasons – We hold your data for purposes to do with running the business and providing our services e.g. when we need to contact a supplier for an enquiry or booking.

- Your company name and address (or home address if you have given it to us)

How we use your personal data
- To provide our services. When you have instructed us to work on a meeting or event we may have to share your personal data with suppliers to CCD Global Events such as venues and event logistical providers
- To run our business
- To comply with our legal obligations
- To send business or marketing communications which we think will be of interest. We will provide the option to unsubscribe from these communications
- For recruitment to ensure we are recruiting employees who have the appropriate skills, qualifications, experience and suitability for each role. We may also process health information in order to comply with our duty to make reasonable adjustments.
Transfer of your personal data outside the European Economic Area (EEA)
In order to provide you with the service you require, we may transfer your personal data to suppliers outside the EEA. Where we do, this will only happen if the supplier

Our destruction policy for personal data
We will keep your personal data for a period of time that is based on our business needs and regulatory requirements to which we are subject to.
How we destroy data:
- For digital data we will delete any relevant entries, files, mailing list contacts from our records.
- For physical data we will shred any paper records.
- We acknowledge that fully destroying e-mail data is difficult and we strive to destroy all data using the delete function.
Your rights in respect of personal data we hold
- You can ask what personal data we hold about you and be provided with a copy.
- If personal data is incorrect you can ask us to correct it.
- You can ask us to delete or cease processing the personal data that we hold about you in certain circumstances e.g when we no longer need that information.
- You can ask us to send you, or another organisation, certain types of personal data about you in a format that can be read by computer.
- You can withdraw your consent to our processing of your personal data where our processing is based on your consent.
- You can complain to the UK regulator, the Information Commissioner’s Office at ico.org.uk if you think that we are not complying with our obligations regarding your personal data.
