Our Standard Terms
Where a contract does not exist, the following minimum terms and conditions will apply.
Confidentiality
CCD Global Events operate a strict client confidentiality policy, any information which you provide to us will not be used or disclosed by us to other parties except in the normal course of booking an event on your behalf. We in turn expect your confidentiality.
Data protection
CCD Global Events complies with data protection and data security laws, including: Data Protection Act 1998 (DPA), the EU Data Protective 95/46/EU, and the General Data Protection Regulation (GDPR).
All data held by CCD Global Events for an event will remain our client’s property. All data provided will only be shared with key partners involved in the booking and delivery of an event. Data will always be transferred securely to known parties, and will always be password protected.
Data will not be copied or stored on any external hard-drive or discs and will be securely deleted one year after the last day of any event.
Commissions
When acting as a booking agent, CCD Global Events receives a commission from the hotel/venue for placement of the event. This is not built into the rates charged to the client, it is deemed a cost of sale for the supplier. We reserve the right to charge the client for our global venue finding service when normal commission payment agreements with the venue/s cannot be applied. CCD does not have to disclose details about commissions, as they are part of a separate contract between the agency and supplier partners. CCD Global Events is a member of the Hotel Booking Agents Association and complies fully with its Code of Practice.
Fees
Prior to any event, all event management fees are quoted and detailed in full to the client. Project Acceptance forms will require signature and thereby agreement to pay the quoted fees.
Liability
It is understood that all legitimate charges made by the hotel/venue concerning a booking are the responsibility of the client.
Cancellation / Termination
With regards to Event Management projects, cancellations must be made in writing and acknowledged immediately.
More than 90 days prior to the event, 25% of the contract sum is due, or any invoices already raised, whichever is the greater.
Between 90 and 60 days prior to the event, 50% of the contract sum is due, or any invoices already raised, whichever is the greater.
Between 60 and 30 days prior to the event, 75% of the contract sum is due, or any invoices already raised, whichever is the greater.
Less than 30 days prior to the event, 100% of the contract sum is due.
Anti-bribery
CCD Global Events complies fully with anti-bribery and anti-corruption laws.
Anti-slavery
CCD Global Events complies fully with anti-slavery regulations and laws.
Disaster recovery
CCD Global Events has detailed disaster recovery and business interruption plans.
Dispute Resolution
Claims regarding non-delivery of services must be submitted by formal and recorded statement to a Director of CCD Global Events immediately. Claims not reported in this way cannot be taken into consideration.
Any potential dispute of disagreement will be conducted with due consideration and be subject to UK laws and practices.
